Privacy Policy

This Privacy Policy explains how Salesfleet, the company that operates the Salesfleet service (“Company,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with the Salesfleet websites, applications, and related services (the “Service”).
This Policy is incorporated into, and should be read together with, our Terms of Use. Capitalized terms not defined here have the meanings given in the Terms.
1. Scope and Roles
This Policy covers two distinct kinds of information, and we act in different roles with respect to each:
- Account and usage information— information about you and your Account (name, email, workspace membership, usage of the Service). For this information, we act as a controller (or equivalent under applicable law).
- User Content, including Third-Party Data— the accounts, contacts, notes, call transcripts, and other information you or your organization submit to the Service. For this information, you and your organization are the controller and we act as a processor (or equivalent service provider), processing it only as necessary to provide the Service and on your instructions. If you are a prospect, contact, or other individual whose information was submitted to the Service by one of our customers, your relationship for that data is with our customer, not with us directly — see Section 9.
2. Information We Collect
We collect the following categories of information:
- Account information— name, email address, hashed password, role, and workspace membership, provided when you sign up or are invited to a workspace.
- User Content— company and account records, contacts, deal and meeting notes, pasted call transcripts, and other business information you submit, including Third-Party Data about prospects and contacts you provide as described in the Terms.
- Research and signal data— when you use the Service’s research features, we query and store information from public sources (news, regulatory filings, company websites) about the companies you research. This is public-source information, not information we collect about you.
- Usage and technical data— log data, IP address, device and browser information, timestamps, and records of actions taken in the Service (for example, documents generated or credits consumed), collected automatically to operate, secure, and improve the Service.
- Cookies and similar technologies— see Section 8.
- Communications— information you provide when you contact us for support or otherwise correspond with us.
3. How We Use Information
- to provide, maintain, and operate the Service, including generating Output from your User Content;
- to authenticate you, secure your Account, and enforce workspace-level data isolation between organizations;
- to perform research and surface signals from public sources on your behalf;
- to monitor, prevent, and investigate fraud, abuse, and security incidents, and to enforce rate and usage limits;
- to communicate with you about the Service, including support, security, and administrative messages;
- to measure and improve the Service’s performance and reliability; and
- to comply with our legal obligations.
We do not use your User Content to train AI models we or our AI Providers offer to other customers, and we do not sell your information.
4. AI Processing and Third-Party AI Providers
The Service uses third-party artificial intelligence providers, currently including Anthropic and OpenAI (“AI Providers”), to generate Output and to perform research. When you use these features, relevant portions of your User Content are transmitted to the applicable AI Provider for processing and are subject to that provider’s own terms, security practices, and data handling commitments. We select AI Providers that contractually commit not to use API-submitted data to train their own models for general use, and we do not control, and are not responsible for, an AI Provider’s independent processing of information outside of what we instruct.
Where a request cannot be completed by our primary AI Provider (for example, due to a temporary outage), the Service may automatically route it to a secondary AI Provider so the feature keeps working; the same data-handling commitments apply to that provider.
6. Data Retention
We retain Account information and User Content for as long as your Account or workspace remains active, and for a limited period afterward as needed to comply with legal obligations, resolve disputes, and enforce our agreements. You or your workspace admin may delete specific records (such as a contact or account) at any time within the Service; deletion removes the record and associated data we generated from it. Usage logs and security records may be retained longer where needed for fraud prevention, security, or legal compliance.
7. Data Security
We use technical and organizational measures designed to protect information, including encryption of data in transit, hashed storage of passwords, and workspace-level data isolation enforced at the database query layer so that one organization’s data is not accessible to another. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your Account credentials as described in the Terms.
9. If Your Information Was Submitted By a Salesfleet Customer
If you are a prospect, contact, or other individual whose information was submitted to the Service by one of our customers (for example, because you were listed as a contact on an account, or your name appears in a call transcript your organization uploaded), we process that information as a processor on that customer’s instructions, not as the controller of it. Please direct requests about that information to the organization that submitted it. If you contact us directly, we will refer your request to the relevant customer where we are able to identify them, and will otherwise respond as required by applicable law.
10. Your Rights and Choices
Depending on your location, you may have rights to access, correct, export, or delete personal information we hold about you, or to object to or restrict certain processing. To exercise these rights, contact us at legal@salesfleet.io. We will verify your request and respond within the time required by applicable law. If you are a member of a workspace, some requests (for example, deleting a record you did not create) may need to be directed to your workspace admin, since they control that workspace’s data.
11. Children’s Privacy
The Service is intended for business and professional use by individuals eighteen (18) years of age or older, consistent with the Terms, and is not directed to children. We do not knowingly collect personal information from children.
12. International Data Transfers
We and our AI Providers and infrastructure providers may process information in the United States and other countries. Where we transfer personal information across borders, we use measures designed to provide an adequate level of protection consistent with applicable law.
13. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide reasonable notice, for example by posting the updated Policy with a new “Last updated” date or by notifying you through the Service or by email. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
